Do you have a passion for customer service, and want to work where you make a difference in animals’ lives? The Dakin Humane Society's Community Spay/Neuter Clinic is looking for a new team member.
The clinic administrator provides excellent customer service by phone and in person, scheduling appointments, answering clients’ questions, billing, collecting payments, patient admissions and discharge, general housekeeping. Previous experience delivering excellent customer service in a fast paced environment, computer literacy, and a passion for animal welfare are required. Bilingual Spanish/English a plus.
This is a part time position, Tues/Weds/Thurs, 7:45 am-4:00 pm. Pay range is $11.50-12.50/hour.

Dakin Position Description
Title: Clinic Administrator
Reports to: Spay/Neuter Clinic Manager
Hours: Part-time, non-exempt, hourly
Function: Under the supervision of the spay/neuter clinic manager, the clinic assistant is responsible for the overall operations of the clinic's office and service counter, including delivering excellent customer service and maintaining complete records of clinic activities.
Responsibilities:

Delivers quality customer service to all clients.

Provides information, answers questions and responds to client grievances.

Oversees operations of the main service counter.
-
Directs client concerns to the clinic manager.
-
Provides administrative support to the clinic manager.
-
Assists with purchasing and payables.
-
Invoices, collects receipts, compiles end of day, and assists with collections.

Assists with patient intake and discharge.

Maintains patient database, including complete records for all patients.

Creates rabies certificates.

Ensures proper paperwork goes home with each patient

Provides in-person and telephone client services.

Maintains a safe and loving environment so that animal caregivers are happy and comfortable with leaving their pets at the clinic.
volunteers and interns:
-
Provides daily supervision to volunteers and interns in the performance of their respective job responsibilities.

Trains volunteers and interns and provides ongoing feedback and guidance.
-
Actively supports volunteers and interns and promotes the development of skills related to the advancement of our goals and mission.
Other responsibilities:
-
Monitors and tracks usage of department supplies following the proper agency purchasing guidelines.

Answers the telephone, maintains files, creates and implements forms, and performs other administrative duties.

Cleans the common administrative and lobby areas of the clinic.

Runs errands.
-
Attends Dakin events as required.
-
Assists with the maintenance and upkeep of office facilities and equipment.

Assures the safety of the Dakin workplace and actively monitors safety for staff, clients, and animals. Follows safety guidelines to ensure a safe work environment.

Works with leadership to recommend and implement policy/procedural changes for the adoption centers.

Complies with Dakin personnel policies.

Attends appropriate staff meetings.

Serves on appropriate committees, task forces, and networks.

Represents Dakin in a professional and courteous manner at all times.

Provides quality service to customers, volunteers, donors, and staff recognizing their individual contribution to the success of our organization.

Regularly participates in meetings with staff and volunteers to share ideas and suggestions designed to improve working conditions and the organization.

Performs other duties as assigned by the clinic manager or the director of operations.
Position Requirements
Education:
-
High school diploma or equivalent required.
Experience:
-
Minimum of two years' office experience.
-
Strong computing skills, including experience with MS Office (Excel, Word), mail merge operations, and relational databases.

Must be willing to work irregular hours. Must be willing to work Saturdays, if the clinic is open on Saturdays.
